The Schmidt Family Foundation is a private foundation with growing assets of over $2B and an impact investment portfolio of approximately $160M of AUM.

The Impact Investing Program has been experiencing exciting growth over the last few years and is looking to expand the team with this position. The Program seeks to preserve its capital through making impact-first investments across sustainable agriculture, energy, human rights, circular economy, and marine conservation. The Schmidt Family Foundation seeks a highly detail-oriented, professional, collaborative, and flexible assistant with C-suite administrative experience to support the team. The successful candidate will be proactive, organized and a quick study who thrives in a fast paced environment where the work often demands quick and accurate outputs. They should enjoy process improvement and possess a keen attention to detail and superb organizational skills. This role requires high attention to detail and must take initiative and bring a passion for working on the issues of the Foundation. The successful candidate will be self-motivated while also being an adaptable team player as the program continues to build out its investment and operating strategy. This role will report to the Managing Director as part of a 7-person investing team.

Key Responsibilities

  • Provide administrative support to the Managing Director, handling functions such as responding to inquiries, scheduling calls and meetings, and serving as a liaison between Managing Director and investees and other internal and external partners
  • Proactively help the Managing Director to oversee the operations of the program, and ensure that all deliverables are being received and responded to in a timely manner. This includes coordination with 4 other team members.
  • Handle scheduling, travel arrangements and work expense reports for other Managers and Directors (3 currently)
  • Plan logistics for a once per year in-person team retreat, including travel arrangements, hotel booking, meeting room, food, and other activities
  • Assist with the execution of team meetings (including note taking and action item follow up).
  • Take notes during Investment Committee meetings and ensure team follow-up
  • Communicate effectively and collegially with investees, co-investors, and other TSFF staff and impact investing partners
  • Assist deal leads with maintaining all existing investment files in Salesforce and ensure pipeline data entry
  • Review and synthesize data and information and perform research for issue area leads as needed – this includes our focus areas of U.S. agriculture, energy, and indigenous communities, energy access and agroecology in SubSaharan Africa, and circular economy and fisheries globally
  • Perform data entry as needed – primarily transcribing information into spreadsheet format
  • Assist with preparation of presentation materials, including slides and other reports
  • Conduct ad hoc projects and other investment-related activities as relevant for the Managing Director. This could include creating scopes of work for potential consultants, reviewing documents and providing summaries, taking calls on the MD’s behalf, and conducting research on specific topics.

Desired Knowledge and Experience

  • At least 3-5 years of relevant experience as Office Manager, Administrative Assistant or Executive
  • Assistant supporting multiple C-suite level executives and Team
  • Strong attention to detail and commitment to consistently providing high-quality deliverables
  • Outstanding organizational and time management skills
  • Desire to be part of a highly collaborative team and fast-paced work environment
  • Strong proficiency with software and IT systems
  • Interest and experience (professional or in volunteer capacities) in one or more of the
  • Foundation’s main issue areas is a plus but not a requirement: sustainable agriculture, energy, human rights, circular economy, and marine conservation
  • Self-motivated individual capable of working independently and proactively to manage multiple projects at once and meeting deadlines even when priorities change
  • Strong interpersonal skills to interface and coordinate professionally with a number of diverse internal and external contacts. Excellent verbal and written communication skills
  • Flexible to incorporate new responsibilities as the role evolves

$43.22 – $53.84 an hour
