ABOUT THE POSITION
Working as the conduit between the program, finance and grants management teams, the Grants and Administrative Coordinator’s primary responsibility is to provide oversight and support to the foundation’s grants management process. This is a non-exempt position reporting to the Senior Grants Systems Manager.
The Grants and Administrative Coordinator must have an excellent work ethic, be highly skilled at setting priorities, possess initiative and bring to their work a strong attention to detail. The successful candidate will be collaborative/relationship-oriented, and organized; a quick study who thrives in a fast paced organization where the work often demands quick and accurate outputs.
PRINCIPAL DUTIES
Grants Management
- Provides support to the Systems Manager in the ongoing enhancements of the grants management system (GMS) in SalesForce.
- Ensures grants management policies, procedures and proper documentation are adhered to for the life of a grant.
- Customizes and distributes grant agreements and related documents to the grantees and internal signatories for compliance and signatures via DocuSign.
- Assists with the creation of reports generated from the grants management system (GMS) that will advise the Executive Director, program staff and/or finance department with tracking grant status, synthesized metadata & trends and provide other useful information as needed.
- Supports the Grants Management team by helping to monitor, update and at times, streamline the grants management process and keeping the process documents up to date.
- Helps train new employees in the grants management process.
Events Management
- As part of the Events Management committee, and working in tandem with the Event and Project Manager, provides support at every stage of the biennial CONNECT event life cycle including but not limited to, research, outreach, registration prep via the CVENT registration platform, travel coordination and reimbursement processing.
- Assist with other projects and activities as assigned.
Skills and Experience Needed
- Energetic, motivated self-starter; ability to work independently and as a team player;
- Ability to understand and willingness to learn cloud based applications, new technologies and software applications;
- Working knowledge of Google apps (Gmail, Drive, Sheets) and MS Office, (Word, Excel, PowerPoint)
- Sensitivity in regards to confidential information;
- Strong verbal & written communication skills;
- Strong time management skills; prompt and timely adherence to deadlines and commitments;
- Ability to manage competing and shifting priorities;
- Willingness to work extended hours during the work week, if necessary
- Ability to work effectively in a small organization with an emphasis on teamwork;
- Knowledge of non-profit grantmaking practices highly preferred;
- Willingness to travel to job related conferences and/or other foundation satellite offices.
- Fluency with Salesforce or other online databases highly preferred
- Experience with event planning desired
- Ability to work legally in the United States
Access Needs:
- Must be able to use a computer and communicate by video call or telephone for extended periods of time.
$43.26 – $47.60 an hour
The Schmidt Family Foundation offers a competitive salary range at the Coordinator level of $43.26 – $47.60 per hour ($90,000 – $99,000 per annum) and a best-in-class benefits package, which will be shared during the process.
Location
The position is based in Santa Monica with a hybrid in office/remote model. The ideal candidate will be already located in the Los Angeles area or willing to relocate.
